Duties and Responsibilities

2. Office Management Secretary Grade II – 4 Posts
Duties and Responsibilities
The Office Management Secretary Grade II will provide secretarial and administrative support within the assigned office. Key responsibilities include:
- Typing ordinary and confidential letters, reports and other official documents.
- Receiving visitors, listening to their needs and directing them to the appropriate office or officer for assistance.
- Maintaining records of appointments, meetings, official trips and the supervisor’s work schedule.
- Locating files and documents required for administrative activities.
- Receiving files and forwarding them to the relevant officers, departments, sections or units.
- Collecting, organizing, storing and returning files and documents to their appropriate locations.
- Preparing meeting notes and assisting with arrangements for various meetings.
- Preparing lists of required office supplies and equipment.
- Performing other duties assigned by the supervisor.
Qualifications for Office Management Secretary Grade II
Applicants should have Form Four or Form Six education together with a Diploma in Secretarial Studies at NTA Level 6.
Candidates should also have passed shorthand in Kiswahili and English at a speed of 80 words per minute (80 w.p.m.).
In addition, applicants are required to have computer training in common office applications and internet-based services, including:

The computer training should have been obtained from an institution recognized by the Government.
