What is Letter of Good Standing

 As its name implies, a certificate of good standing is a type of business document that shows that you’re up to date on all important business marks — for example, that you went through claiming a business name that’s registered with the state, authorized to perform business, and current with its fees and filings.

Requirements to get a Letter of Good Standing:

1. COID Registered: You must be COID Registered and have a COID Registration Number to prove it (we can assist with your COID Registration and COID number).
2. Returns of Earnings: All Employers who are registered at the Compensation Fund, need to Submit and Pay their Annual Fees. Without successful submission and payment of these annual fees, the Employer can not obtain a Letter of Good standing. This process is sometimes time consuming and complicated. We can assist you in a faster and professional manner with this. If you still need to do this, we can assist.

What documents do you need to get a Letter of Good Standing?

Here are the prerequisites, as an employer or business owner, to getting a Letter of Good Standing – and the correlating legislation:

  • You have to be registered with the Compensation Fund – section 80 of the COID Act. We can assist you to Register with COID.
  • You have to be up-to-date with your Return of Earnings submissions – section 82 0f the COID Act. We can assist you with your Return of Earnings Submissions.
  • You must be fully assessed by the Compensation Fund in terms of your payable amount – section 83 of the COID Act. We can assist.
  • You have to be up-to-date with your due payments – section 86 of the COID Act. We can assist.
  • Please note: If you have an instalment arrangement to pay your assessment fee on a month‐to‐month basis, you can only receive a Letter of Good Standing that’s valid and renewable on a month‐to‐month basis.

How to apply for UIF letter of good standing?

A UIF letter of good standing or compliance certificate is a form of official documentation from the scheme to employers.

The document confirms that said the employer was complying with all the UIF requirements at the date of issuing the certificate.

It is also necessary should your employees wish to lodge a claim with the UIF for benefits in the case of an illness or maternity-related work disruption.

And should your company wish to apply for a government tender, having a letter of good standing is one of the prerequisites to legally doing business with the government?

To successfully receive a UIF letter of good standing, employers must gather the necessary information, such as ID numbers and addresses of employers and workers.

And be ready to present this information to a UIF representative prior to visiting a Labour Centre in person.

Get the UI-8 or UI-8D and UI-19 forms from your nearest Department of Labour office.

Employers must go on to complete the necessary forms for both themselves and your employees.

This form of registration of workers requires an employer have a reference number.

However, if an employer does not have a reference number yet, this part can be left open.

The UIF will create a reference number on your behalf and send it to you. Once you have completed the necessary forms, hand them in to the labour centre.

Once you have undergone the abovementioned steps, you can then proceed to download the application letter for a certificate of compliance/ letter of good standing.

And submit it to your nearest labour centre with the correct details.

How do I get my UIF letter online?

Getting your UIF compliance certificate online is a simple process designed to streamline the process of registering with the scheme.

The service is free and can be used by employers, agents, and tax practitioners with the relevant power of authority.

Simply visit the UIF compliance certificate website by clicking on the following address: uifcompliance.labour.gov.za.

Once you have been directed to their site’s homepage, click on the “Login” option.

This will initiate a prompt requiring certain information such as ID number, password, UIF reference number.

Accept the terms and conditions of the online portal, click on the “Generate Certificate” option, and finish the process by clicking on “Confirm.”

Your certificate will be generated by the system. You can download your certificate as a PDF or print it as a document.
