Job Description

The Operations department currently seeks to appoint a Stock Controller. In this role your responsibilities will be:
Health, Safety, Environment and Quality:
To effectively manage and minimise the risk associated with depot operations by ensuring:

  • compliance with all HSE Policies, rules, guidelines and legal requirements within area of responsibility;
  • promotion of safe working environment and positively contributing to the company HSE KPI’s and risk reduction strategies;
  • that HSE competency requirements are enforced within area of responsibility.


Achieving Profit for Depot through the following means:

  • Ensure integrity of stock information on the Material balance Report and Stock counts.
  • Evaluate and monitor stock processes regularly to ensure compliance, and to continuously improve stock control environment.
  • Scrutinize/analyse stock reports from stock systems to resolve stock discrepancies such as variations, imbalances, uncleared sales, that will affect product loss/gain
  • Ensure that source and control documents affecting stock movement are checked and filed as per Totalgaz legal requirements.
  • Adhock work as required by Management from time to time (to be reasonable to ensure that there is no impact of current tasks).



Administration:

  • Monitoring and actioning delivery and upliftment quantity discrepancies
  • Reconciling SAP processing with communication from transporter (STATS) weekly and monthly
  • Ensuring STATS reflect accurate uplifted and delivered volumes and liaising with transporters
  • Obtaining explanations for volume gains and losses from transporters
  • Obtaining explanations for volume variances from SAP processed items and STATS
  • Calculating the gains and losses monthly and quarterly per truck for the transporters
  • Calculating and processing the gains and losses in SAP
  • Reporting bulk gains and losses in volume and value
  • Performing investigations and reporting inconsistencies with transport team and transporters
  • Create/Amend Totalgaz Stock Control Policies and Procedures
  • Suggesting improvements to process, control measures and procedures to improve stock control
  • Maintain constant business interaction, questioning of stock flows, root cause analysis and remedies for problem areas

Reporting:

  • Compile a detailed monthly Mass balance report after month end processing in line with Total’s Company Rules which will include:
  • Monthly gains and losses per Depot (Cylinders and Bulk)
  • Comments / Explanations for Gains and Losses out of tolerance

Governance:
To ensure effective risk management and internal control, including asset management, for area of responsibility.


Candidate profile
KNOWLEDGE AND EXPERIENCE REQUIRED

  • Tertiary qualification – Stock Management/Bookkeeping and warehousing background, B Com or Auditing will be advantageous
  • Two (2) to Five (5) years job related work experience
  • Knowledge of SAP and Microsoft Office
  • Experience in dealing with accounts, including invoicing, credit notes, debit notes, journals, inter-branch transfers, the age analysis process, customer account reconciliation and credit limits
  • Must have experience in FMCG environment
  • A high level of computer and basic accounting proficiency
  • Logistics operation experience an advantage
  • Strong communication skillsHigh personal INTEGRITY and trustworthiness and reliability

  • Any other activity instructed to perform.
