UARK Box Cloud Storage and Sharing Tips and Tricks UARK Box is a cloud storage and collaboration tool that is accessible to all University of Arkansas students, teachers, and staff.

The UARK campus now has access to Box’s top-notch cloud storage and collaboration tools.

  1. Navigate to uark.box.com.
  2. Click on “Continue”.
  3. Enter your username (uark email address).
  4. Enter your password.
  5. Log in to access your files.

When storing private or sensitive data in the cloud, use Uark box with caution. Files with very sensitive data should not be stored on Box. Visit UARK Blackboard.

Files and editing

You can make a Box document for rapid reference using Box Notes. Additionally, you can use Office Online programmes directly from your web browser to open a file from Box. Editing completed, simply save it back to Box.

Box also keeps track of a document’s revision history, making it quicker and simpler to stay on top of changes in a team project.

Each file upload is limited to 15GB.

Sharing and collaborating

The power of Box stems from its collaboration features.

  • Shared links are great for quickly sharing a document or file for a one-time task. Depending on the permissions selected, a person may not need a Box account to access a shared link.
  • Inviting collaborators to join your folder allows a group team to revise one version of a file, rather than creating multiple versions. This option is best for long-term or complex projects. There are seven permission levels, and each collaborator needs to have a Box account.

Naming folders

Because you can be invited to several collaboration folders, it is important to use a consistent naming convention with your collaborators to help everyone organize their folders. For example:

  • For a class within the university, use class codes in the folder name, such as ENGL1003 Fall 2019
  • For a project with outside collaborators, include “UARK”: UARK Chemistry Study Fall 2019

Folder and file names within Box have a 255-character limit.

Restoring deleted files

Deleted files can be restored from Trash for up to 90 days after being deleted.

  1. From the web version of Box, click Trash in the menu on the left.
  2. Mouse over the file and click the More Options (
) icon on the right.
  3. Select Restore. Click Okay to confirm.

Leaving the University

Access to Box at the University of Arkansas is revoked when a UARK account is closed. When leaving the university, make sure to transfer ownership of files and switch your Box account to a personal email address.

Contact the IT Help Desk to retrieve work files owned by a user who is no longer with the university.

OneDrive

OneDrive is an Office 365 file management service available to all students, faculty, and staff.

You can save and work on your files anytime, anywhere with OneDrive from Office 365. To get started, log in with your UARK email address and password, then click the OneDrive tile.

Office Online files are automatically saved to OneDrive. You can upload large files up to 250GB.

Download the OneDrive app on your computer, phone, or tablet.

  1. Log into Office 365 with your UARK email address and password.
  2. Click “Install Office Apps” on the right. Follow the prompts to complete the installation.

If you already have OneDrive on your device, add a “work/school account” using your UARK email address and password.

Google Drive

Google Drive is a suite of productivity applications for creating and sharing online documents, spreadsheets, and presentations. It is a good Uark box alternative. As a general rule, files created in Drive, including those converted to PDF, are not fully accessible to individuals using assistive technology for vision impairment or other functional limitations.

Before sharing Google Drive content, IT Services recommends converting files to Microsoft Office formats (Word, Excel, PowerPoint, etc., which are generally accessible) using Drive File Stream. Files converted to Microsoft Office formats may still contain accessibility barriers. If files are not accessible, contact the individual who provided the original document.

Kumo

You can use Kumo to easily access and save your UARK Box, OneDrive, or Google Drive files from a campus computer lab or the virtual Remote Lab.

‘Kumo’ is a Japanese (hirigana) word that means both ‘cloud’ and ‘spider’.

When logged into a campus computer lab or Remote Lab desktops, Kumo allows you to save to your UARK Box, OneDrive, or Google Drive cloud storage account the same way you would save to the local storage drive.

To get started, follow the steps below or visit kumo.uark.edu.

  1. Log into your Remote Lab desktop or Tech Spot lab computer.
  2. A prompt will appear in the system tray in the lower right corner of your screen. Click Setup and log in with your UARK username and password.
  3. Authorize each cloud service you wish to use by clicking Authorize from the drop-down menu.
    Note: Google Drive users may have to enter their email address as @email.uark.edu and follow the authorization prompts. Kumo only works for UARK Google Apps accounts, not for personal Gmail accounts.
  4. You can remove Kumo access at any time by clicking the Deauthorize button at kumo.uark.edu.

After you upload or delete a file, your change will be synced within 30 seconds. You might need to refresh the window in order to see recent changes.
